Privacy Policy
Version 3.0 · Effective 9 September 2026
Nied Fitness (“we,” “us”) builds an adaptive fitness app. This policy explains what we collect, how we use it, who we share it with, and the choices you have. It describes the data we actually collect — including your fitness and health-related data and your Virtual Coach conversations — not generic boilerplate.
Information we collect
- •Account information — your email, name, and a securely hashed password (we never store your password in plain text).
- •Fitness & health-related data — the data you create using the app: workouts and sessions, exercises, sets, reps, and weights, goals, equipment, and any body metrics or training-status notes (such as soreness) you choose to record.
- •Virtual Coach conversations — the messages you send the Coach and the AI-generated replies you get back.
- •Usage & diagnostic data — product-analytics events about how features are used (keyed to an opaque account identifier, never your email) and technical error diagnostics that help us keep the app working.
- •Reports and feedback — when you send us a report, we store what you write, any screenshots you attach yourself, your follow-up messages, and a fixed set of technical context captured with the report: the page you were on, the app version, your device and browser type, screen size, the last few console error messages, and which app features were enabled for your account. We never attach your workouts, nutrition, body data, or Coach messages to a report, and we never capture your screen automatically — screenshots are only what you choose to attach.
- •Payment information — handled by our payment processor (Stripe). We never receive or store your full card number.
How we use your information
We use your information to provide and operate the app, power the Virtual Coach and session planning, process subscriptions, keep the service secure and reliable, and comply with legal obligations. We do not sell your personal information, and we do not use your health-related data for advertising.
The Virtual Coach and your data
The Virtual Coach (“the Coach”) is our AI chat feature. When you use it, your messages and the relevant training context needed to answer (such as your current goal, recent sessions, or personal records) are sent to our AI provider — a third-party company that runs the language model — to generate a response. It processes that content as our service provider, to answer you and for no other purpose of ours. We do not send your Coach conversation content to our analytics tools. What the Coach is, and what happens to what you tell it, is set out in full in the Virtual Coach Terms & AI Disclosure.
Analytics and error monitoring
We use PostHog for product analytics and error monitoring to understand how the app is used and to detect problems. Events are tied to an opaque account identifier — never your email or health data — and your Coach conversation content is excluded.
How we share information
We share data only with the service providers that help us run the app, and only as needed to provide the service:
- •Our AI provider — powers the Virtual Coach (see above). We do not name the vendor here because we may change it; the categories of data it receives do not change when we do.
- •PostHog — product analytics and error monitoring.
- •Stripe — subscription billing and payment processing.
- •Vercel — application hosting, request logs and web analytics.
- •Vercel Blob — file storage, including any screenshot you attach to a report.
- •Neon — our database.
- •Resend — the emails we send you: password resets, email verification, and updates on a report you sent us.
- •Google — only if you choose Sign in with Google. Google confirms your identity to us; its sign-in script also sees your IP address and browser on our sign-in and sign-up screens.
We do not sell your personal information or share it with third parties for their own marketing.
Your health-related data
We treat the fitness and health-related data you record as sensitive. We do not sell it, and we do not share it for advertising. It is used to provide the app’s features and is shared only with the providers listed above to operate the service. Health-related information has its own policy, which stands on its own and controls where the two overlap: the Consumer Health Data Privacy Policy.
Data retention and deletion
We keep your information while your account is active, with one exception you should know about: a Virtual Coach conversation is archived after 7 days without activity and permanently deleted after 30 days without activity, whether or not you delete it yourself. Everything else — your workouts, goals and body metrics — is kept until you delete it or delete your account.
You can delete your account at any time from your account menu, under Account. Deletion removes your profile, workouts, Coach conversations, reports and their attachments, and related records from our systems. Some records survive deletion: billing records retained by our payment processor as required for financial and legal purposes, and our internal operations log, which records what our staff did in the admin tools. Deleting your account yourself writes no log entry of the deletion — Your Data sets out exactly what a deletion does and does not reach.
Report screenshots have their own clock: while a report you sent is still open, its screenshots are kept so we can fix the problem. Once the report is resolved or closed, we delete the screenshot files one year after it settled (the report’s text keeps a note that images existed). If a report is reopened, the clock stops until it settles again.
Your rights and choices
You can ask us to give you a copy of your personal information, correct it, or delete it.
Deleting is something you do yourself, in the app, from your account menu under Account. Some of your information you can also edit yourself — your preferred name, your timezone, your goals, and your training records.
Asking for a copy is a request you send us, not a button in the app: we do not have a download-your-data feature yet, so email us and we will put a copy together by hand. The same goes for a correction to something the app will not let you change. How to ask, what we will do, and how long we will take is set out in Your Data: Access and Deletion.
Cookies
We use essential cookies to keep you signed in and to remember preferences such as your theme, and analytics described above. We do not use cookies for third-party advertising. We also store some things in your browser that are not cookies — including your in-progress workout, so a refresh does not lose it. Everything we set, and how long it lasts, is listed in the Cookie Policy.
Adults only
Nied Fitness is for adults. We do not offer the service to anyone under 18, and we do not knowingly collect personal information from anyone under 18. If we learn that we have, we delete it and close the account.
Changes to this policy
We may update this policy as the app evolves. We publish a new version with a new effective date, and for material changes we give a more prominent notice.

Versions
Every version we have published, newest first. You can read any of them.
- Version 3.0 · Effective 9 September 2026 · currentMaterial change. The AI provider is no longer named; three subprocessors that were already receiving data are disclosed; the export and processing-objection rights are corrected to what the product can actually do; Coach conversations are stated to auto-delete after 30 days idle.
- Material change. The children section becomes an 18-and-over exclusion; the account-deletion sentence no longer claims that everything is removed (billing records and any consent records survive deletion).
- Material change. First publication — the Privacy Policy as live at /privacy since 23 June 2026 (Phase 29.6), carried into the framework verbatim.
